Add a photo for each person (photo ID passes)
Last updated: October 26, 2026
Give everyone on a pass their own photo, for staff IDs, member cards and student cards. On Apple Wallet the photo is the pass's thumbnail, beside the person's name. Google Wallet has no thumbnail, so the photo sits in the middle of the banner at the bottom of the pass.
Turn on photo per person
Create a pass and choose Membership Card, then Identity Card. Photos work with the thumbnail layout, which this template uses.
In Brand assets, turn on Photo per person. This adds a {photo} column to Dynamic data.
The Thumbnail image is what anyone without a photo yet will see.
To match photos to people in bulk, the pass needs a column such as {employee_id} or {member_id} as well, so put that variable on the pass.
Add photos one at a time
Open Dynamic data and click Open data sheet. The {photo} column shows a small round picture for each person.
To upload, click the circle in a person's row, choose or upload an image, then crop it square.
To use a photo that's already online, paste its link into the box beside the circle.
Upload many photos at once
Name each photo after something in the person's row, usually their ID: NW-1042.jpg for the person whose employee ID is NW-1042. Upper and lower case, spaces, dashes and the file type don't matter.
In the data sheet, click Upload photos and choose the photos, or one .zip of them.
Check which column the file names are matched to. You'll see who matched, photos with no one to match, and people with no photo.
People who already have a photo keep it, unless you tick Replace existing photos. Then click Upload.
Photos are shrunk before they upload, so a folder of phone photos goes up quickly. Save the pass when you're done.
Send photos from a CSV, the API or Zapier
CSV: add a photo column with a link to each person's photo.
API, Zapier and other integrations: send the link as the value of {photo}, like any other variable.
Links that work: public links that go straight to a JPG, PNG or WebP image. Google Drive and Dropbox share links work when the file is shared with anyone who has the link.
When you save, linked photos are copied into WalletPassBuilder, so a pass keeps working even if the original link changes. A big import finishes in the background: those rows show Processing photo… and the photos reach passes within a few minutes. A link that can't be used is marked in its row with what to fix, and that person gets the default thumbnail until it's fixed.
Good photos
Use a head-and-shoulders photo with the face near the centre. Photos are cropped square.
Apple shows the photo small, about 90 × 90 points, so a plain background reads best.
Photos are part of each person's pass, and anyone with their pass link can see it. Only add photos you have permission to use.
Change or remove a photo
Upload a new one, or click Remove in the person's row, then save. People who already have the pass get the change in both Apple Wallet and Google Wallet, and the old photo is deleted.
